Workplace Experience Coordinator

Description

We are seeking a Front Desk Coordinator. This role is integral to our operations, ensuring the smooth functioning of the front desk, providing top-notch customer service, and managing office functions. You will be the first point of contact for all those entering the facility, creating a welcoming and professional environment.


Responsibilities:


• Serve as the first point of contact for all visitors, greeting them with a friendly demeanor and issuing visitor and parking passes in line with security protocols.

• Handle incoming phone calls in a professional manner, creating a positive first impression.

• Coordinate and confirm recreational, dining, and business activities on behalf of the requestor.

• Manage janitorial or maintenance work orders as needed and coordinate workplace services such as mail and office supply services.

• Handle inquiries or complaints from employees, guests, and co-workers, providing solutions in a customer service-driven manner.

• Organize and manage on-site events, including securing event space, setting up and tearing down of the room, and delivering supplies.

• Follow property-specific security and emergency procedures and notify appropriate parties to ensure safety.

• Coordinate with vendors who supply services or goods to the workplace.

• Explain detailed and/or complicated information within the team and follow specific directions given by the manager.

• Maintain accurate documentation and records, and handle database management tasks as required.


Skills:


• Exceptional Customer Service and Communication Skills

• Proficiency in Office Functions and Microsoft Office Suite (Excel, Word, Outlook)

• Experience in Training and implementing Procedures

• Proficiency in Billing Functions and Materials Handling

• Strong Leadership Skills and ability to handle Receptionist Duties

• Knowledge of Security procedures and Vendor coordination

• Experience in Onboarding and managing Correspondence

• Ability to Perform Ad Hoc Financial tasks and handle Digital platforms.


Requirements

• Proficient in Microsoft Office Suite, including Excel, Word, and Outlook
• Possess strong customer service and communication skills
• Experience in office functions and procedures, including documentation and materials handling
• Familiarity with billing functions and insurance procedures
• Knowledge of database management and human resources (HR) administration
• Able to perform receptionist duties, including managing correspondence and onboarding
• Skilled in providing workstation support and maintaining security protocols
• Leadership and training skills to guide and develop team members
• Knowledge of quality control, production, and vendor management
• Familiarity with ad hoc financial tasks and digital tools
• Capable of handling confidential information professionally and securely.
